Committee meetings this past week and a good turnout in support of the directors. The variety and commitment confirms we have plenty on over the next months.
The tractor trek tomorrow is a wider district initiative and much has been said and written about the style and purpose of the trek. We have a number of Cambridge Rotary members taking part in the launch but more are welcome. If you are awake at 8.00 am put on your Rotary tee-shirt and hat and join us at the launch. Further particulars in this bulletin.
Race to Raise Funds is building with the event only six weeks away on Thursday 23 March 2023 at Cambridge Raceway. This event replaces our normal weekly meeting. Again, information has already been circulated from David Partis who is chairing the organising committee.
Lively discussion was generated as a result of Gourmet Delicious increasing their Rotary dinner prices to $26 plus GST and delivery. Given the current financial, inflation, produce price increases and an increase to the minimum wage, the resulting increase to our meals is not unexpected.
Other options (no meal, etc) were discussed. Impact of the bar to keep the majority options in focus. We agreed to conduct a MonkeyChimp survey and will be sending questions out to members after the next board meeting.
Meal Price
As noted in the President's report above, the actual cost for the meal will now be $26.00 + GST ($29.90 total) not $28.00 + GST as originally advised during the meeting.
Committee Activity
From our committee meetings, it's interesting to see the activity that's taking place within the club. Committees are very much part of our structure and it's not about the individual committees but about giving back to Rotary and supporting our goals and ambitions.

The need for good support for the Firewood Project continues and volunteers are always needed.
Urban Miners continue this year and would welcome any assistance you can provide.
Tractor Trek – Monday 13th February
The Feelings for Life Tractor Trek 2023, in partnership with Rotary, is coming to the Waikato and involves Cambridge Rotary Club.
Monday 13th February is the Launch in Cambridge and will be at the Cambridge Middle School. A number of dignitaries will be at the launch as well as our District Governor Kevin Forgeson and Assistant District Governor David Hulme.
The Rotary Club of Cambridge is holding a BBQ breakfast and if you can help, come along at 8.00 am. It's not too late so please contact David Partis today on 027 449 1410.

We are part of a District-endorsed initiative to support the filming, production and promotion of a film entitled "One Last Story" which explores NZ's youth suicide epidemic and how we are going to overcome it. Any surplus funds beyond those required for "One Last Story" will be donated by District to Anxiety NZ.
To raise funds for this project, we will be running a sausage sizzle at the Warehouse, Cambridge next Saturday 18 February from 10.00 am until 2.00 pm. 6 volunteers are needed to assist Nigel Salter, three for the 9.30 am - noon shift, and 3 for the noon to 2.300pm shift (times allowing for set up and clean up). We will be offering sausages and onions on bread, and asking in return for a donation. Please contact Nigel on 027 455 9069 if you can help.

Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place Sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
Kitchen Duty

Wash and dry bar glassware.
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.

How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians.
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
Materials:
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday.
Welcome Duty

Welcome members and visitors alike.
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
