I am very pleased with progress being made by committees. With no significant changes to the personnel and the planning progress on Cambridge Rotary activities, we have had a very good start in 2022 – 23.
Car parking assistance for the Cambridge Jockey Club, Public Relations committee meetings and planning, Daffodil Day planning, business and Rotary Club visits, Primary school speech contest, promotion for Garden Festival all are underway and/or being delivered. Early next month we will post the Cambridge Rotary timetable to 1 February 2023.
The Kevin Forgeson DG visit to our club has been changed again – on Thursday night it was to be late October. Kevin is now due in Australia for Rotary – we are now waiting for a change in date from his PA.
General consensus back to the Club Service Committee is Gourmet Delicious meal is acceptable. White and Red wine continue to be steady sellers and help to subsidise the night especially as we do not pay rent for the venue.
On a lighter note – Sergeant Brian was detained in Auckland Thursday night for company love in – no sergeant had been organised for the club. I attempted to soften the blow by having 1 to 3 members of each committee present a couple of fines. Don Wilson was first cab off the rank and with 5-6 fines he cleaned up leaving no cash in the room for anyone likely to follow him. Well done Don.
Following on from our committee meetings a good number of projects are underway or will be going to the Board for approval. Here's a summary of some key activities:
The Schools Speech Contest is organised for 13 September and planning is well underway.
Discussion has started on establishing an Interact Club at Cambridge High School.
The Youth & New Generation Committee is planning an Auction and New Members' night to be held on 20 October.
The Waipa Youth Awards will not be celebrated via an awards night this year due to Covid. Instead winners will be announced via a video on the Waipa District Council website. Rotary Cambridge sponsors the leadership category for $750. Sponsorship acknowledgement will be included in the video.
The Putaruru Club will be visiting our club on 29 September and the Te Awamutu club is keen to visit 17 November.
APL site visit is confirmed, date to be advised.
The Board has approved an application for a District Grant for our club.
Days for Girls will consist of individually hosted morning teams (or 5pm wine/nibbles). 12 hosts to invite 7 people who would pay $10 each. Income from this would amount to a total of approx $840. A definite date has yet to be decided but could be held September - November.
Daffodi Day collection is on 26-27 August.
Harriers half marathon is being held in October.
The Christmas Parade and Achievement House Christmas Dinner will be in December.
Marshalling at the Cambridge Raceway continues for another three weeks.
It's good to see all this activity underway, particularly given the constraints of Covid. It's a great programme which will require good support from members.
AGM
The AGM will be held on Thursday 25 August. Two non-director members of the Nominating Committee, John Bullick and Gavin Levesque, having served one year and being eligible have offered themselves for re-election. Further nominations can be submitted to the Secretary, in writing, signed by both the proposer and nominee prior to the meeting or in person at the AGM.
Any notice of general business can similarly be submitted to the Secretary prior to the meeting or raised at the AGM itself.
Please take note of the Duty Roster and be in good time for your duties.
If you are unable to attend on the date you are rostered, please swap or arrange a substitute. Please also advise the President and Sargent of the change.

Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Place empty bottles in recycling bins.

How:
Be in time to welcome the evening's speaker.

Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
Kitchen Duty

Follows regular meeting.
Duty:
Wash and dry bar glassware.
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.

How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians.
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.

Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday.
Welcome Duty

How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
