This Week
 
This week’s committee meeting lead by Past President Bev Maul Rogers, with over 30 members in attendance as we moved from Red to Orange. Hopefully the new alert level change will allow further opportunities for fellowship and fundraising this year, which bring me to the notice below.
 
Message from DG Ross
 
One thing of note is District 9930 Rotary Extravaganza Weekend Friday 20th to Sunday 22 May 2022 In lieu of our 9930 District Conference which was set for the weekend of the 20-22 May, your Club is invited to partake in an extravaganza weekend.
As our International President Shekhar Mehta has outlined as part of his goals, he is promoting Rotary Days of Service AIM. He would like each Club in District 9930 to plan, organize, take part in an activity in the community and/or with other Clubs during the weekend of Friday 20th to Sunday 22nd May 2022.
 
The events could include collaboration with other Clubs in your area, including your Assistant Governor. Opportunities and ideas are endless – consider Rotary’s 7 Areas of Focus.
We could create a new project; hold a fundraising breakfast, lunch or dinner; assist in the community; engage with youth and /or elderly; identify and present a Paul Harris Fellowship recognition; organise plantings, clean-ups, fun runs, cycling events, other sports events, picnics…
DG Ross theme of Health & Well-Being could be incorporated, too
 
WHO TO INVOLVE
All Club members; Friends of Rotary; alumni (RYLA, RYPEN, Science & Tech Forum); sports heroes in your area; community PHF awardees; local government - Mayors of City, District and Regional Council & their staff; Members of Parliament.
(Each One, Bring One)
 
FUNDRAISING: If fundraising, give consideration as to where the funds might go – The Rotary Foundation; End Polio Now campaign; Rotary Give Every Child a Future; ShelterBox; Emergency Response kits; Interplast; the Heart Foundation; the Rural Support Trust; the Cancer Society – the list here, too, is endless. You may have a community favourite as a charity.
 
Publicity - promote in local newspapers, radio, community Facebook pages, Club Facebook page and web site; the District Facebook page; the District President’s Facebook page. Advise the District Public Image Coordinator – Sheena Spittles
Make good use of your Rotary flags, billboards, signage, local notice boards, bulletins, and social media. After the Event: Publicity in local newspapers, radio, community Facebook pages, Club Facebook page and web site; the District Facebook page; the District President’s Facebook page. Advise the District Public Image Coordinator - with photos and a summary of the event.
The International President’s theme of ‘Serve to Change Lives’ – is appropriate for this weekend.

Please consider giving to the Rotary Foundation in this time of need.  I realise we are personally unable to solve the world’s problems, but I do know our desire to help is strong. By giving to the Rotary Foundation and encouraging others working toward the same goals, we will know that all funding generated, is directed to those who need it most.

THIS WEEK'S NOTICES

Club meeting – 14 April 2022
 
Sergeant Ted opened the meeting and started with his usual historical reflection.  Standing in for President Ian, IPP Bev Maul-Rogers welcomed all members  and mentioned the good turnout at the President’s Breakfast including Matamata Rotary’s members and partners together with the President and Treasurer of Matamata Interact (who happen to be the town’s college Head Boy and Head Girl).
 
Bev mentioned the ongoing opportunity to support by donation “Give Every Child a Future”, a vaccination programme in the Pacific which our club has supported for the last two years. It costs $45 for a single dose so you might consider donating the equivalent of the number of family members in your household plus those in your extended family.
 
Members then joined their respective committees.  Following the discussion, Directors or their representatives reported  back.
 
Vocational
  • Thanks to all those who supported the President’s Breakfast to raise funds for “Rotary Give Every Child a Future” project; Final figures will be released shortly. The load of firewood donated by the winning ticket had found a welcoming home through the Cambridge Community House
  • Interclub visit to Hamilton East Rotary Wednesday 18 May (so no Thursday meeting for Cambridge that week)
  • Apprenticeship Grants – applications are sought for young apprentices for funds from the District Grant
  • Committee is looking at various options for Vocational visits – eg APL, Shaw Wire Ropes, new Medical Centre, new retirement village complexes
  • Taste Waikato cookbooks – committee is progressing options for selling these.  Great for Mother’s Day coming up. David Partis is developing a website
 
Club Services
  • Firewood selling going well. Please note Working Bee at David Blewden’s on 1 May
  • Recent loads of firewood had been sold bringing in $1,300
  • District Conference scheduled for 21/22 May has been cancelled due to COVID
  • Looking at holding number plate “anti-theft” screws project weekend
 
Youth/New Generation
  • Schools’ speech competition – John Bullick co-ordinating and plans on track
  • Noted that the New Generation-led meeting in March had been successful
  • Mini-project – marketing/selling electronics at Tamahere Market
  • RYPEN – still going ahead at this stage
  • Rotary signs at town entrances – progress being made and will be installed shortly
  • Urban Miners – Noted that there are now 75 volunteers helping with processing and volunteers could be a source for new members
  • U3A – an association with this organisation could be beneficial
  • Working with eg young tradees could help with career development
 
Community
  • Karapiro Bench installation completed
  • May 26 – Chris Smiley will talk about cycle expedition at an evening at Cricket Club. Meal provided
  • Blood Bank collection in June
  • 16 October – Harriers marshalling
  • For next Rotary year – suggestions:
    • Bike stands in identified areas and repairing of existing stands
    • Bench seat installations in town
    • Drinking fountain in Leamington
 
International
  • Shelter Box for Ukraine – a box will be on display at Bookarama
  • Emergency Response Kits – investigate provision of these for the Pacific
  • With regard to previously proposed Dental Kits (Days for Girls) – these are not feasible due to cost
Our Rotary World – Bev Maul-Rogers
 
Jennifer Jones’ international presidential theme logo was developed by Riki Salam – an indigenous artist and designer.  Riki was born and raised in Cairns on Yidinji Land.  As well as his Indigenous Peoples connections he is of Ngai Tahu descent in the South Island.
 
The theme “Imagine Rotary” and the logo depicts a star above the horizon which represents leadership and a guiding light in navigational terms.  The colours used in the logo – purple, green and white specifically represent and have multiple symbolic meanings – including the Suffrage movement, polio eradication and peach and conflict prevention.
 
Bookarama
Pack in – Sunday 8 May; set up - Sunday through to Tuesday 10 May; Selling – Wednesday 11 to Sunday 15 May; Pack out – Sunday 15 May. Please put your name on the roster available at club meetings or contact Ray Milner.  This is an intensive week and we need plenty of volunteers for the various shifts.
 
Thanks to Bev Heron for the range of Easter chocolate treats enjoyed by all during fellowship prior to the meeting.
Rotary Apparel:
 
I encourage you all to update any Rotary apparel you have. Any shirts or hats with the old wheel or just Cambridge don't cut the mustard. So whenever we are doing work in the community we look smart and are not asked if we are Lions.
 
 This is what the logo should look like. Later ones have Cambridge below Rotary, and both are acceptable.
If you don't have a shirt or cap with this logo I encourage you to contact David Partis or myself to order.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
