FROM PRESIDENT IAN

Presidents Notes 05th March 2022
 
About 30 in attendance to Cambridge High School, this our first formal evening for March 22.
 
Gary Smith (previously from Rotorua Sunrise) having recently moved into Cambridge, visited our club, and indicated he is very keen to join us at some point soon.
 
A big thanks also to David Partis for his belated new member talk ‘and what was’ a fascinating look back into the 70’s and 80’s as he grew up in NZ, plus his time spent in Australia. We are very lucky to have him in our club.
 
Rotary has just issued an appeal as below, these considering the recent Australian Floods and the situation in Ukraine. Please have read though and action should you have the resource to assist.
 
Next week our monthly Club Committee evening, please do your upmost to attend and support your Club Service Director. Maybe your committee could do something to assist the appeal notice below.

APPEAL NOTICE
 
Australian Flood Appeal No. 0110
 
Summary: To raise funding to provide financial assistance to flood victims in Queensland and
Northern New South Wales - March 2022
 
Challenge: Around 15,000 homes have been flooded and some owners will be needing assistance
to clean and refurbish their residences.
 
Solution: Individuals who are adversely affected and require assistance will be identified and be
given funds to help with their recovery. It is RAWCS priority to get funds quickly to
those who are in need to help them with the clean-up and damage caused by the
floods.
 
Long term impact: The aim is to assist those affected to get their lives and businesses back to normal as
soon as possible.
 
Ukrainian Relief Aid Appeal No. 0115
 
Summary: To meet immediate lifesaving needs of the crisis-affected civilian population in Ukraine
& provide early recovery assistance as soon as feasible. To save & preserve lives,
easy suffering & promote self-sufficiency.
 
Challenge: To provide humanitarian aid to all affected by current events
 
Solution: Initially funding will be required.
 
Long term impact: To save & preserve lives, ease suffering & promote self-sufficiency in the long term.

THIS WEEK'S NOTICES

 

Rotary Meeting – Cambridge High School 3rd March 2022

 
Our Sergeant Ted Mason opened the meeting at 6pm.
 
President Ian gave us an update on a few things.
 
Ian approached the subject of Zoom meetings if Omicron numbers rise and asked the Club for feedback. Two members gave feedback that we should carry on as we are for now and have as many face to face meetings as possible until we really cannot continue. If the safety of our Club members and guests becomes compromised, we will move back to Zoom meetings for as short a time as possible.
 
President Ian also updated us on the meeting with Bronwen and the Days for Girls meeting. Ian and Liz have donated to help the Days for Girls programme purchase materials for their products that they make and Bronwen will update us in due course with the plans moving forward.
 
President Ian welcomed our special guest Gary Smith who has only been in Cambridge 8 days but has been in other Rotary Clubs previously and looking to join Rotary to meet people.
 
Roger Hill introduced our guest speaker David Partis.
David gave his New Member speech and covered various aspects of his life up to today. He is turning 60 this year and gave us an update to his life, born in Auckland and grew up there.
David has lived in Owhango in the Ruapehu, Melbourne for 3 years and has finally settled in Cambridge. David and Suzanne have 3 Grandchildren and enjoy campervanning and visiting their children and grandchildren in Auckland and Melbourne.
 
Rollo thanked David for his speech and wished him well.
 
Minutes
 
David Partis gave us an update about the District 9930 Cycle Jersey that the Ahuriri Sunrise Club has produced and other Clubs in the Hawkes Bay are starting to follow suit.
We can as a club do what we want so David showed us a sample of what the Jersey looks like asking if anyone was interested in buying one and having some sort of consistent cycling apparel showcasing the Rotary logo.
The photos are below in the bulletin and the cost is $108 each including freight and David will handle the ordering with the Ahuriri Sunrise Club for interested members.
 
David Partis also updated us on an Adventure Club outing planned for the weekend of the 30th April.
The event is a Ruapehu Cycling Weekend with Saturday cycling the Ohakune Old Coach Road and Sunday cycling the Fishers Track in National Park. Both are downhill rides and involve bike shuttles.
The plan is to carpool to Owhango and stay Saturday night in the Owhango Hotel. Dinner and breakfast will be provided and bike shuttles to and from both cycle trails.
The package price for this is $205 to cover accommodation, meals and bike shuttle drop off and pickups.
Please contact David Partis to pencil in your interest for this event as we need to get numbers to the Owhango Hotel to reserve our rooms. The event is also up on the Cambridge Rotary Club website and registration is available online. Guests are welcome.
 
David Blewden gave us an update on Urban Miners and showed a registration sheet for additional volunteers which are needed to keep the programme going.
 
Nigel Salter gave an update on the cycle ride that day along the new Te Awa section.
 
Bill Robinson handed out an award to the Club for the 75th anniversary celebration and awarded this to President Ian. Also he handed out an award for the achievements of the club in Bev Maul-Rogers year and Bev was congratulated for the achievements of the club.
 
Nigel Salter presented to us his Our Rotary World talk. Nigel talked about some background behind Rotary in Ukraine, the makeup of the Clubs there and how long they have been going. Due to Ukraine heavily involved in wars over the years Rotary is quite new in Ukraine and Nigel explained what he had learned from reading through Rotary websites.  
 
President Ian thanked everyone for coming and thanked Gary Smith for joining us and closed the meeting at 7:45pm.
 
 We are looking for help with meeting note takers if there are any volunteers. We have approached a couple of people and they have turned us down and currently Sean and David share the role but we are keen to have one other step up and help us out so we can share this role amongst 3 people.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
